Job Description:
The role of Deconstruction Projects Assistant is to provide exceptional organizational and administrative support to the Estimator & Project Management Team and Deconstruction Operations Manager. Daily tasks include fielding email and phone inquiries, maintaining email correspondence, scheduling walk-throughs with potential clients, collecting necessary information for invoicing, file & calendar management, and ultimately, capturing and relaying all pertinent information for a smooth handoff to a Project Manager or Operations Manager. The person in this role relies on their highly-developed organizational skills to streamline processes and create efficiencies for the rest of the department. They are exceptional communicators and their first instinct is to provide unrivaled customer service to both the team and the clients we serve. 

As the first point of contact for all email and phone inquiries, the Deconstruction Projects Assistant sets the tone for all outgoing correspondence and consistently provides an unrivaled customer service experience.

You’ll be the key link between clients and our team, ensuring that projects are clearly scoped, accurately estimated, and professionally executed. Your ability to inspire confidence, communicate clearly, and maintain a strong presence throughout a job’s life cycle is essential to your success in this role.

Duties and Responsibilities:

Estimating Assistance

  • Be the primary point of contact for answering estimate@ email requests and deconstruction phone inquiries.

    • Guide potential clients (both new and repeat) through the initial estimate process by collecting preliminary information and scheduling walk-throughs, when necessary.

    • Vet projects by asking questions, in accordance with the Lovett script, about the scope of a project and gathering appropriate information to create a bid, which includes photographs, plans or doing a walkthrough.

    • Assign job numbers, create digital folders and follow through on all administrative tasks associated with new projects, including creation of a Project Workbook and even occasionally initial estimates. 

    • Assist with scope questions.

  • Update project tracking system weekly and keep up-to-date as projects are added. 

  • Send emails to clients to prepare for job start and collect response information

  • Prepare and print paperwork for on-site lead.

  • Schedule all appointments such as asbestos testing, subcontractors and walkthroughs using Google calendar.

  • Oversee and track all job-related services such as: debris boxes, porta toilets, equipment rentals

  • Collect debris tickets and receipts for each job and provide accurate debris total for project invoicing.

  • Assist with administrative paperwork such as applying for and tracking permit applications and staying current on the permitting updates.

  • Attend walkthroughs alone or with an Estimator/Project Manager (E/PM) in order to take notes & support the initial estimate process by writing up preliminary data and sending estimates directly to clients after E/PM review.

  • Prepare Estimates from email inquiries that do not require a site visit and sending estimates directly to clients after E/PM review.

  •  Visit job sites to deliver tools and other supplies when necessary. 

  • As needed, perform minor research for the E/PM team.

Operations Assistant

  • Collect, review, store, and distribute lead RRP paperwork.

  • Send regularly scheduled Safety Meetings on relevant topics, review and store feedback

  • Track, order, and distribute PPE

  • Gather Monthly Safety Report data: Close Calls, Incident Reports, Damages

  • Track Vehicle Maintenance and registrations needs. Complete vehicle registrations online and assist in scheduling appointments and DEQ inspections.

Experience, Skills & Qualifications:

  • Strong interpersonal skills; friendly and efficient manner on the phone, in person, and in text.

  • Experience with construction and deconstruction projects

  • Ability to read building plans

  • Familiarity with deconstruction project flow

  • Familiarity with deconstruction or construction related logistics and building terminology

  • Experience working with contractors and subcontractors

  • Comfortable with numbers and technology

  • Great attention to detail

  • Proficient in data analysis, and estimation metrics

  • Excellent organizational skills

  • Excellent knowledge of MS office, databases, and information systems

  •  Strong spatial awareness

  •  Excellent time management

  •  Experience calculating team hours

  •  Basic understanding of accounting and project management concepts

  •  Continuing Professional Education is a plus

Reports to:
This position reports directly to the Operations Manager and Project Managers and interacts with all Crew, Owners, all departments, staff, as well as external clients and vendors. No direct reports.

Hours:
Monday through Friday, 8:00am - 4:30pm, 40 hours per week.

Compensation:
Salaried full time. We evaluate our compensation offerings according to market medians and internal pay equity. The starting salary is $65,000 per year with salary potential increasing DOE.
